We take your privacy seriously. Here's how we handle your information.
Look, we get it - privacy policies can be a real snooze-fest. But as lawyers, we actually care about this stuff, and we think you should too. At Nexurion Vale Legal Services, we're committed to protecting your personal information because trust is everything in our line of work.
This policy spells out what information we gather when you work with us or visit our website, how we use it, and what rights you've got when it comes to your data. We're based in Vancouver, BC, and we follow all applicable Canadian privacy laws, including PIPEDA (Personal Information Protection and Electronic Documents Act).
When you reach out to us or become a client, we'll collect various types of information. Here's what we're talking about:
We're not in the business of collecting data for fun. Everything we gather has a purpose:
The main event - we use your info to actually do our job and represent your interests effectively.
Staying in touch about your case, sending updates, and responding to your questions.
Maintaining proper records as required by law (and the Law Society of British Columbia).
Processing payments, sending invoices, and handling trust account matters.
Complying with court orders, regulatory requirements, and anti-money laundering rules.
Making our services better based on feedback and analyzing what works.
Security isn't just a checkbox for us - it's critical. We've implemented multiple layers of protection:
All data transmission uses SSL/TLS encryption. Our databases are encrypted at rest too.
Only authorized staff can access client files, and we track every interaction.
Canadian-based servers with regular security audits and penetration testing.
Everyone on our team gets regular training on privacy and security protocols.
Our office has controlled access, secure document storage, and proper disposal procedures.
We've got a plan in place if something goes wrong, including immediate notification protocols.
No system is 100% bulletproof, but we're doing everything we can to keep your data safe.
Under Canadian privacy law, you've got some important rights when it comes to your personal information:
You can request a copy of the personal data we hold about you. We'll provide it within 30 days (or explain why we can't).
If something's wrong in our records, let us know and we'll fix it. Accurate info is important for everyone.
In some cases, you can ask us to delete your information. But heads up - we might need to keep certain records for legal or regulatory reasons.
If we're processing your data based on consent (not legal obligation), you can withdraw it. This won't affect anything we did before you withdrew consent.
In certain situations, you can object to how we're using your information. We'll review and respond to your concerns.
If you're not happy with how we've handled your privacy, you can complain to the Privacy Commissioner of Canada. We'd prefer you talk to us first though!
To exercise any of these rights, shoot us an email at contact@nexurionvale.info or call us at (604) 789-4523. We'll need to verify your identity before acting on your request.
We don't hoard information forever, but we can't just delete everything the day a case closes either. Here's our approach:
We're required to keep client files for at least 10 years after the matter closes. That's a Law Society of BC rule, not us being pack rats. After that period, we'll securely destroy files unless there's a good reason to keep them longer.
Invoices, trust account records, and payment info stick around for 7 years minimum - that's what the tax folks require.
If you've signed up for our newsletter or other communications, we'll keep that info until you unsubscribe. Then it's gone within 30 days.
Anonymous usage data gets kept for about 2 years, then it's automatically deleted.
If you reach out but don't become a client, we'll typically keep your initial inquiry for about 3 years in case you come back. After that, it gets purged.
Sometimes our website might link to other sites - court databases, government resources, or useful tools. Once you click those links, you're playing by their privacy rules, not ours.
We try to only link to reputable sources, but we can't be responsible for their privacy practices. Always check their policies if you're sharing personal information on another site.
Privacy laws evolve, technology changes, and we're always looking to improve. So yeah, we might update this policy from time to time.
When we make significant changes, we'll let you know - either through email if you're a client, or by posting a notice on our website. The "Last Updated" date at the top will always reflect the most recent version.
For current clients with active matters, we'll make sure you're aware of any changes that might affect how we handle your information. We won't retroactively change how we treat data we've already collected without giving you a heads-up first.
It's a good idea to check back here occasionally, especially if it's been a while since you last reviewed our privacy practices.
If you've got concerns about how we handle your information, or you want to exercise any of your privacy rights, don't hesitate to reach out. We take this stuff seriously and we're here to help.
Privacy Officer: You can also direct privacy-related inquiries to our designated Privacy Officer at the contact information above. We'll respond to all privacy requests within 30 days.
If you've got privacy concerns related to your business operations or need help with data protection compliance, that's actually something we can help with. Reach out for a consultation.
