Privacy Policy

We take your privacy seriously. Here's how we handle your information.

Last Updated: November 18, 2025

Introduction

Look, we get it - privacy policies can be a real snooze-fest. But as lawyers, we actually care about this stuff, and we think you should too. At Nexurion Vale Legal Services, we're committed to protecting your personal information because trust is everything in our line of work.

This policy spells out what information we gather when you work with us or visit our website, how we use it, and what rights you've got when it comes to your data. We're based in Vancouver, BC, and we follow all applicable Canadian privacy laws, including PIPEDA (Personal Information Protection and Electronic Documents Act).

If legalese isn't your thing, don't worry - we've tried to keep this straightforward. But if something's unclear, just give us a shout.

When you reach out to us or become a client, we'll collect various types of information. Here's what we're talking about:

Personal Identification
  • Your name, email address, phone number - the basics
  • Business information like company name, position, and work address
  • Government-issued ID when legally required
Legal & Business Details
  • Information about your legal matters (yeah, the important stuff)
  • Corporate documents and business records
  • Financial information related to transactions we're handling
  • Employment records if we're dealing with HR matters
Technical Data
  • IP address and browser info when you visit our site
  • Device information and how you interact with our website
  • Login credentials if you use our client portal

We're not in the business of collecting data for fun. Everything we gather has a purpose:

Providing Legal Services

The main event - we use your info to actually do our job and represent your interests effectively.

Communication

Staying in touch about your case, sending updates, and responding to your questions.

Documentation

Maintaining proper records as required by law (and the Law Society of British Columbia).

Billing & Payments

Processing payments, sending invoices, and handling trust account matters.

Legal Obligations

Complying with court orders, regulatory requirements, and anti-money laundering rules.

Service Improvement

Making our services better based on feedback and analyzing what works.

We don't sell your information - that'd be seriously unprofessional. But sometimes we need to share it with others to do our job properly:

Other Lawyers & Legal Professionals

When we bring in co-counsel, expert witnesses, or need to consult with opposing counsel on your case.

Courts & Government Agencies

When required by law or court order - we can't ignore subpoenas, folks.

Service Providers

Our tech vendors, cloud storage providers, and payment processors - all under strict confidentiality agreements.

Professional Advisors

Our own accountants, insurers, and professional liability consultants when necessary.

Note: Solicitor-client privilege still applies. We'll never share privileged communications without your consent unless legally compelled.

Security isn't just a checkbox for us - it's critical. We've implemented multiple layers of protection:

Encryption

All data transmission uses SSL/TLS encryption. Our databases are encrypted at rest too.

Access Controls

Only authorized staff can access client files, and we track every interaction.

Secure Infrastructure

Canadian-based servers with regular security audits and penetration testing.

Staff Training

Everyone on our team gets regular training on privacy and security protocols.

Physical Security

Our office has controlled access, secure document storage, and proper disposal procedures.

Incident Response

We've got a plan in place if something goes wrong, including immediate notification protocols.

No system is 100% bulletproof, but we're doing everything we can to keep your data safe.

Yeah, we use cookies - but not the chocolate chip kind. Here's the deal with website tracking:

Essential Cookies

These are necessary for the site to function. They remember your session, keep you logged in to our client portal, and maintain security settings. You can't really opt out of these if you want to use our website.

Analytics Cookies

We use these to understand how people use our site - what pages get visited, where folks are coming from, that sort of thing. It helps us make the site better. These are anonymized and we don't track individuals.

Preference Cookies

These remember your choices like language preferences or text size. They make your experience smoother on repeat visits.

Managing Cookies

You can control cookies through your browser settings. Just know that blocking certain cookies might affect how well the site works for you.

Most browsers let you: refuse cookies, delete existing cookies, or get notified when new ones are being set.

Under Canadian privacy law, you've got some important rights when it comes to your personal information:

1
Access Your Information

You can request a copy of the personal data we hold about you. We'll provide it within 30 days (or explain why we can't).

2
Correct Inaccurate Data

If something's wrong in our records, let us know and we'll fix it. Accurate info is important for everyone.

3
Request Deletion

In some cases, you can ask us to delete your information. But heads up - we might need to keep certain records for legal or regulatory reasons.

4
Withdraw Consent

If we're processing your data based on consent (not legal obligation), you can withdraw it. This won't affect anything we did before you withdrew consent.

5
Object to Processing

In certain situations, you can object to how we're using your information. We'll review and respond to your concerns.

6
File a Complaint

If you're not happy with how we've handled your privacy, you can complain to the Privacy Commissioner of Canada. We'd prefer you talk to us first though!

To exercise any of these rights, shoot us an email at contact@nexurionvale.info or call us at (604) 789-4523. We'll need to verify your identity before acting on your request.

We don't hoard information forever, but we can't just delete everything the day a case closes either. Here's our approach:

Client Files

We're required to keep client files for at least 10 years after the matter closes. That's a Law Society of BC rule, not us being pack rats. After that period, we'll securely destroy files unless there's a good reason to keep them longer.

Financial Records

Invoices, trust account records, and payment info stick around for 7 years minimum - that's what the tax folks require.

Marketing Data

If you've signed up for our newsletter or other communications, we'll keep that info until you unsubscribe. Then it's gone within 30 days.

Website Analytics

Anonymous usage data gets kept for about 2 years, then it's automatically deleted.

Consultation Inquiries

If you reach out but don't become a client, we'll typically keep your initial inquiry for about 3 years in case you come back. After that, it gets purged.

Sometimes our website might link to other sites - court databases, government resources, or useful tools. Once you click those links, you're playing by their privacy rules, not ours.

We try to only link to reputable sources, but we can't be responsible for their privacy practices. Always check their policies if you're sharing personal information on another site.

This includes social media platforms. If you follow us on LinkedIn or other networks, those companies have their own data collection practices that are separate from ours.

Privacy laws evolve, technology changes, and we're always looking to improve. So yeah, we might update this policy from time to time.

When we make significant changes, we'll let you know - either through email if you're a client, or by posting a notice on our website. The "Last Updated" date at the top will always reflect the most recent version.

For current clients with active matters, we'll make sure you're aware of any changes that might affect how we handle your information. We won't retroactively change how we treat data we've already collected without giving you a heads-up first.

It's a good idea to check back here occasionally, especially if it's been a while since you last reviewed our privacy practices.
